Asset manager
Ortto’s asset manager is your place to create and manage the email and SMS assets (the messages that populate your campaigns) used in journeys and playbooks.
The asset manager provides you with an overview of your assets, their status and the campaign in which they are used. You can also organize assets into folders and edit assets as required.
Assets can have 4 statuses:
- Draft — the asset has been created but is not yet attached to a campaign.
- Unpublished changes — you have made changes to the asset that are unpublished, that is, the changes haven’t been used in any campaigns yet.
- Published — the asset is attached to a campaign.
- Archived — the asset is archived.
Click the filter icon to view only selected assets.
At an asset, click the more icon to access the duplicate and archive functions.
Creating a new asset
On the Asset manager page, click New asset to create a new email or SMS asset.
When created, assets can be added:
- to a journey via an email or SMS shape by selecting Choose from existing and browsing your assets.
- to a playbook via the Messages tab.
Each asset can only be used once within a journey or playbook, however an asset can be duplicated if you need to make copies to use in multiple campaigns.
Create an email
When creating an email asset, you can choose from a range of templates in Ortto’s public template directory, or your own saved templates and templates shared with you.
If you choose a template, click Use template, then populate the Campaign name:
- Select the Use brand book settings checkbox to apply your branding settings to the asset.
- When you’ve selected the template and campaign name, you’ll land on the Template page, where you can edit the email name and template chosen, if required.Click Next to continue.
- On Setup, populate the email setup fields as required.Click Next to continue.
- In Content, edit the asset as required.Click Next to continue. At this point you can also send a test of the email draft by clicking Send test.
- On Review, you’ll see an overview of the setup and content. Click Publish to use the asset in a campaign.

Create an SMS
When creating an SMS asset, you can create one from scratch or choose from a range of templates in Ortto’s public template directory, or your own saved templates and templates shared with you.
If you choose a template, click Use template, then populate the Campaign name:
- Select the Use brand book settings checkbox to apply your branding settings to the asset.
- When you’ve selected the template and campaign name, you’ll land on the Template page, where you can edit the email name and template chosen, if required.Click Next to continue.
- On Setup, choose your tracking options.Click Next to continue.
- In Content, edit the asset as required.Click Next to continue. At this point you can also send a test of the email draft by clicking Send test.
- On Review, you’ll see an overview of the setup and content. Click Publish to use the asset in a campaign.

Create a capture widget
When creating a capture widget asset, you can choose from a range of templates in Ortto’s public template directory, or your own saved templates and templates shared with you.
If you choose a template, click Use template.
- Select the Use brand book settings checkbox to apply your branding settings to the asset.
- When you’ve selected the template, you’ll land on the Edit capture page, where you can edit the widget options.
- Click Add content to add new elements to the capture widget such as text, buttons, a form, etc.
- Review the changes in the capture widget preview on the right-hand-side of the screen, which shows changes made to the content component and allows you to switch between the preview for the greeting and thank you display components of the capture widget.
- Click Style and use the various options provided to customize the appearance of the capture widget.
- Click Settings to configure where, when, and how the capture widget appears for your users.

Applying an asset to a campaign
Applying an asset to a campaign will vary depending on the type of campaign that you're interested in working with.
For standard single-send Email, SMS, or Playbook campaigns:
When you would like to use an asset for a standard s campaign, you can save the asset as a template by clicking on the More actions menu > Save as template > Save.
When creating a new standard Email or SMS campaign, you will then have the option to select that asset's template in the Template Manager under My saved templates.
For Journey campaigns
When you would like to use an asset in a Journey campaign, you can add the relevant shape for the message to the journey's canvas and then select the Choose existing option to click on the corresponding asset.
Organizing assets
Users can utilize folders to help with organizing assets on the account.
To add an asset into a folder:
- Select the checkbox next to that asset's name
- Click on the Move to button on the top of the page
- Select the name of the folder
