Asset manager

Ortto’s asset manager is your place to create and manage the email and SMS assets (the messages that populate your campaigns) used in journeys and playbooks.

The asset manager provides you with an overview of your assets, their status and the campaign in which they are used. You can also organize assets into folders and edit assets as required.

Assets can have 4 statuses:

  • Draft — the asset has been created but is not yet attached to a campaign.
  • Unpublished changes — you have made changes to the asset that are unpublished, that is, the changes haven’t been used in any campaigns yet.
  • Published — the asset is attached to a campaign.
  • Archived — the asset is archived.

Click the filter icon to view only selected assets.

At an asset, click the more icon to access the duplicate and archive functions.

Creating a new asset

On the Asset manager page, click New asset to create a new email or SMS asset.

When created, assets can be added:

  • to a journey via an email or SMS shape by selecting Choose from existing and browsing your assets.
  • to a playbook via the Messages tab.

Each asset can only be used once within a journey or playbook, however an asset can be duplicated if you need to make copies to use in multiple campaigns.

Create an email

When creating an email asset, you can choose from a range of templates in Ortto’s public template directory, or your own saved templates and templates shared with you.

If you choose a template, click Use template, then populate the Campaign name:

  1. Select the Use brand book settings checkbox to apply your branding settings to the asset.
  2. When you’ve selected the template and campaign name, you’ll land on the Template page, where you can edit the email name and template chosen, if required.
    Click Next to continue.
  3. On Setup, populate the email setup fields as required.
    Click Next to continue.
  4. In Content, edit the asset as required.
    Click Next to continue. At this point you can also send a test of the email draft by clicking Send test.
  5. On Review, you’ll see an overview of the setup and content. Click Publish to use the asset in a campaign.

Create an SMS

When creating an SMS asset, you can create one from scratch or choose from a range of templates in Ortto’s public template directory, or your own saved templates and templates shared with you.

If you choose a template, click Use template, then populate the Campaign name:

  1. Select the Use brand book settings checkbox to apply your branding settings to the asset.
  2. When you’ve selected the template and campaign name, you’ll land on the Template page, where you can edit the email name and template chosen, if required.
    Click Next to continue.
  3. On Setup, choose your tracking options.
    Click Next to continue.
  4. In Content, edit the asset as required.
    Click Next to continue. At this point you can also send a test of the email draft by clicking Send test.
  5. On Review, you’ll see an overview of the setup and content. Click Publish to use the asset in a campaign.

Viewing and editing an asset

On the Asset manager page, click the asset’s name and you are taken to the asset’s view.

The asset’s view is where you can edit, archive and delete the asset.

You can also send a test of an asset from it's view. To do so, click More > Send test > populate the Recipient(s) field, then click Send.

Edit an asset

Assets that are not attached to a campaign can be edited in the asset view. Click Edit to make changes.

If you want to edit an asset attached to a campaign, click View in campaign and you’ll be redirected to the campaign to edit the asset in the campaign creation wizard.

When you edit an asset from the asset manager, the changes will be implemented in any journeys/playbooks the asset is currently being used.

Archive an asset

Assets that are attached to a campaign cannot be archived — this must be done by archiving a campaign, accessed from the Campaign page.

When you archive a playbook or journey campaign you will be asked whether you wish to archive any attached assets along with the campaign. If you choose to archive the campaign only, the asset will still be attached to the campaign. Then if you restore the campaign, the asset will remain attached to it. If you delete an archived campaign, you can choose to also delete any attached assets, or keep attached assets. Keeping an attached asset will sever the asset/campaign link, and the asset will remain in your asset manager as an unattached asset.
