Sunset policy

The Sunset policy page enables you to manage your subscriber lists by automatically unsubscribing, resubscribing, or archiving people based on their lack of engagement. 

You can access the sunset policy page from:

  • Your account settings, at Settings > Customer data > Sunset policy.
  • The People page, via More > Sunset policy.


Auto-unsubscribe

Toggle this setting ON to enable it.

The first time you toggle this setting ON, a set of default filter conditions will be populated. 

You can clear or edit this default condition set to suit your needs.

If you edit the default conditions, click Save to keep your new filter criteria.

You can always revert to the default filter by clicking Reset to default.

The filter saved in this section will be checked daily, and people who meet the criteria will be unsubscribed accordingly.

Default filter conditions populated when Auto-unsubscribe is enabled

People who are auto-unsubscribed will have this activity shown in their view. For example:

Auto-resubscribe

Toggle this setting ON to enable it.

The first time you toggle this setting ON, a set of default filter conditions will be populated. 

You can clear or edit this default condition set to suit your needs.

If you edit the default conditions, click Save to keep your new filter criteria.

You can always revert to the default filter by clicking Reset to default.

People will meet the criteria when they perform the specified activity, and will be resubscribed accordingly. Only people who have been auto-unsubscribed via the sunset policy can be auto-resubscribed. People who have chosen to unsubscribe themselves, such as by using the “Unsubscribe”, “Unsubscribe from this list” or “Update your preferences” links in an email, will not be auto-resubscribed, even if they meet the criteria.

NOTE

  • The auto-resubscribe filter must contain at least one “occurs” condition.
  • “Occurs” conditions can be linked with another “occurs” condition using “OR”. But, an “occurs” condition can only be linked with a condition without “occurs” (e.g. “has occurred) using “AND”. Learn more about creating filters.

Auto-archive

Toggle this setting ON to enable it.

Unlike Auto-unsubscribe and Auto-resubscribe, this setting will not be populated with a 

default set of conditions the first time you toggle it ON – you’ll need to create your own filter.

The filter saved in this section will be checked daily, and people who meet the criteria will be archived accordingly.

WARNING: Archived people will automatically be deleted after 29 days (deleted on day 30).

Exercise caution when archiving people, since doing so puts them in a state where they are no longer tracked or recognized.

If Ortto receives an activity involving an archived person from a data source (which is configured to add unknown people by default) then a duplicate contact/person record will be created for this person in your CDP.

The duplicate person will not retain the person’s original subscription status (unless created as an unsubscribed record via a data source or via the appropriate API call), as the duplicate is treated as a new record. Similarly, should you re-add people you have archived, you will need to verify their subscription status before they are added back.
