Email reply tracking using Google Workspaces
Overview
If you're setting up email reply tracking in Ortto and the email where you'll be receiving the replies is hosted through Google Workspaces, an extra confirmation step is required to set up email forwarding. This article explains how to complete the confirmation process.
Reply tracking with Google Workspaces
If you're using Google Workspaces for email, follow the steps below to complete the confirmation process:
1. Follow these steps to add your email address for tracking.
2. Once you select Google Workspaces as your provider, you are provided with the tracking email address to forward emails to. Copy this address then open your Gmail account.
3. In Gmail, go to Settings and open the Forwarding and POP/IMAP tab.
4. Under the Forwarding tab, click Add a forwarding address, enter the tracking email from Step 1, and click Next. After completing any validation or 2FA steps, a modal will appear prompting you to send a confirmation email.
5. Once the confirmation email is sent, return to Ortto and click the Check for email link under the Confirmation email section. We’ll search for the confirmation email from Google, and once found, you can click View email to open it.
6. Inside the confirmation email, click the link to confirm the setup. In the window that opens, click Approve to complete the forwarding address setup.
7. Next, return to your Gmail settings and refresh the page. In the forwarding section, select Forward a copy of incoming mail to... and enter the tracking email again. Then, save your changes.
Your reply tracking email should now be configured. To verify, return to Ortto and click the Send test email button at the bottom right of the page. This will send an email to your address and verify that a copy is forwarded to the tracking email address. Once we detect the email, a success modal will appear, and your setup will be complete.
NOTE: These instructions were accurate at the time of writing for a typical Google Workspace setup. However, since Gmail is an external tool, these steps may become outdated or may not apply to all Gmail setups.
